1. Document Purpose
This Refund & Cancellation Policy establishes the conditions governing subscription cancellation, refund eligibility, payment disputes, billing reversals, and subscription termination within ReadinessOS.
The objective of this policy is to provide transparency regarding subscription management while ensuring fair treatment of both subscribers and ReadinessOS.
2. Scope
This policy applies to:
- Vessel subscriptions
- Future fleet subscriptions
- Founding Vessel subscriptions
- Enterprise subscriptions
- Monthly plans
- Annual plans
- Promotional subscriptions
- Additional crew seat purchases
- Future marketplace subscriptions
3. Subscription Nature
ReadinessOS subscriptions provide access to software services delivered through a cloud-based Software-as-a-Service (SaaS) platform.
Subscribers purchase access rights for the applicable subscription period.
Subscriptions do not constitute ownership of the platform or its underlying technology.
4. Cancellation by Subscriber
Subscribers may cancel an active subscription at any time through:
- Platform subscription settings where available
- Authorized support channels
- Administrative billing support
Cancellation prevents future renewals but does not automatically terminate access during the already-paid subscription period unless otherwise specified.
5. Effective Date of Cancellation
Unless otherwise stated, subscription cancellation becomes effective at the end of the current paid billing cycle.
Users may continue accessing subscribed services until expiration of the active subscription period.
Unused time is generally not refundable.
6. Automatic Renewal
Subscriptions configured for automatic renewal will continue renewing until canceled by the subscriber.
Subscribers remain responsible for canceling subscriptions prior to renewal if they do not wish to continue service.
Failure to cancel before renewal does not automatically entitle the subscriber to a refund.
7. Refund Eligibility
Except where required by applicable law, subscription payments are generally non-refundable once the billing period has commenced.
Refund requests may be considered in exceptional circumstances including:
- Duplicate billing
- Technical billing errors
- Unauthorized transactions confirmed by investigation
- Platform administrative error
- Other circumstances determined by ReadinessOS at its sole discretion
Approval of one refund request does not establish a future entitlement.
8. Additional Crew Seats
Additional crew seat purchases are considered subscription upgrades.
Once activated, additional seat charges are generally non-refundable except where required by law or where activation occurred due to administrative error.
Seat removal does not automatically generate a prorated refund.
9. Founding Vessel Subscriptions
Founding Vessel subscriptions remain subject to the Founding Vessel Program Terms.
Cancellation of a Founding subscription may terminate eligibility for founding pricing and founding benefits unless otherwise expressly provided.
Founding pricing may also terminate if the qualifying account is deleted, deactivated, suspended, used inappropriately, involved in payment abuse, fraud, misuse, or otherwise violates ReadinessOS policies or terms.
Reactivation may be subject to standard commercial pricing.
10. Promotional Pricing
Discounted pricing, promotional offers, beta pricing, and introductory pricing may be subject to separate eligibility conditions.
Cancellation of promotional subscriptions may result in loss of promotional pricing for future subscriptions.
11. Enterprise Agreements
Enterprise customers operating under separately negotiated agreements shall be governed by the refund and cancellation provisions contained within those agreements.
Enterprise contractual terms supersede this policy where expressly stated.
12. Chargebacks and Payment Disputes
Subscribers are encouraged to contact ReadinessOS before initiating payment disputes or chargebacks.
Fraudulent or abusive chargebacks may result in:
- Subscription suspension
- Account restriction
- Termination of platform access
- Recovery action where permitted by law
Legitimate payment disputes remain subject to investigation.
13. Administrative Cancellation
ReadinessOS may cancel subscriptions where necessary due to:
- Fraud
- Platform abuse
- Policy violations
- Unauthorized payment activity
- Legal requirements
- Security concerns
Administrative cancellation does not automatically entitle the subscriber to a refund.
14. Platform Discontinuation
If ReadinessOS permanently discontinues a paid service, reasonable efforts may be made to provide advance notice.
Refunds, credits, or alternative arrangements may be offered at the sole discretion of ReadinessOS or where required by applicable law.
15. Taxes and Fees
Refunds, where approved, may exclude:
- Government taxes
- Currency conversion costs
- Payment processor fees
- Banking charges
- Third-party transaction costs
Applicable financial regulations may affect final refund amounts.
16. Refund Processing
Approved refunds may be processed using the original payment method where reasonably possible.
Processing times may vary depending upon:
- Payment provider
- Financial institution
- Banking system
- Currency conversion
- Jurisdiction
ReadinessOS cannot guarantee bank processing times after refund initiation.
17. Relationship to Other Policies
This policy should be interpreted together with:
- Terms of Service
- Pricing, Billing & Subscription Policy
- Founding Vessel Program Terms
- Privacy Policy
- Data Ownership Policy
- Account Suspension and Fraud Policy
Where conflicts exist regarding personal information processing, the Privacy Policy shall govern.
18. Policy Updates
ReadinessOS may revise this policy as subscription models, payment providers, commercial offerings, or legal requirements evolve.
Updated versions become effective upon publication unless otherwise specified.
