1. Document Purpose
This Identity Verification Policy establishes how ReadinessOS verifies the identity of professional users, vessel administrators, vessel accounts, and future fleet accounts to maintain platform integrity and reduce fraudulent activity.
The purpose of identity verification is to confirm that a platform profile represents a real individual or authorized organization.
Identity verification is not a certification process and does not validate professional competence, qualifications, licenses, or regulatory compliance.
2. Scope
This policy applies to:
- Professional user accounts
- Vessel accounts
- Captains
- Designated vessel administrators
- Future fleet accounts
- Readiness Passport records
- Founding Vessel participants
- Closed Beta participants
- Administrative account reviews
3. Definitions
For the purposes of this policy:
Identity Verification means the administrative process used to confirm that a profile belongs to a real individual or authorized entity.
Verified Professional means a professional profile whose identity has been successfully verified by ReadinessOS.
Vessel Verification means the administrative review confirming that the applicant has reasonable authority to represent a vessel account.
Verification Status means the current administrative state assigned by ReadinessOS.
4. Verification Principles
ReadinessOS uses identity verification to:
- Reduce fraud
- Improve platform trust
- Protect professional identity
- Protect vessel accounts
- Prevent duplicate identities
- Prevent unauthorized vessel registrations
- Improve administrative integrity
- Support future Readiness Passport functionality
Verification is intended to establish identity only.
Verification does not certify competence, experience, employment history, or qualifications.
5. Professional Identity Verification
Professional users may verify their identity by submitting one or more documents including:
- Passport
- Seaman's Book
- National Identification
- Certificate of Competency
- Government-issued identification
- Other approved identity documents
ReadinessOS may request additional documentation where necessary.
Verification requirements may evolve over time.
6. Vessel Account Verification
Users requesting a Vessel Account may be asked to demonstrate authority to represent the vessel.
Supporting evidence may include:
- Vessel registration
- Letter of authorization
- Company authorization
- Management company confirmation
- Captain appointment
- Owner authorization
- Other supporting documentation
Approval remains subject to administrative review.
7. Future Fleet Verification
Future fleet or company accounts may require additional verification including:
- Company registration
- Corporate authorization
- Management contracts
- Regulatory documentation
- Authorized representative identification
Additional verification procedures may be introduced as enterprise functionality evolves.
8. Verification Status
Profiles or accounts may receive one of the following statuses:
- Identity Pending
- Verified Professional
- Vessel Pending Approval
- Verified Vessel
- Verification Rejected
- Additional Information Required
- Suspended Verification
Status reflects administrative review within ReadinessOS only.
9. Administrative Review
ReadinessOS may review submitted information to:
- Confirm identity
- Review supporting documents
- Prevent fraud
- Detect duplicate profiles
- Verify vessel authority
- Investigate suspicious activity
- Maintain platform integrity
Administrative review may include manual or automated processes.
10. Duplicate Profiles
Users should maintain only one professional identity within ReadinessOS unless expressly authorized.
Duplicate identities intended to manipulate platform records, badges, readiness history, or subscription benefits may result in administrative enforcement.
Historical identity records may be retained for fraud prevention purposes.
11. Fraud Indicators
ReadinessOS may investigate accounts exhibiting indicators including:
- Multiple identities
- Forged documents
- Inconsistent identity information
- Unauthorized vessel claims
- Suspicious document alterations
- Duplicate vessel registrations
- False professional information
- Artificial readiness history
- Badge manipulation
Investigation may result in temporary suspension while administrative review is completed.
12. Verification Denial
Verification may be denied where:
- Identity cannot be reasonably confirmed
- Submitted documents are insufficient
- Documents appear fraudulent
- Vessel authority cannot be demonstrated
- Required information is missing
- Platform abuse is suspected
Verification denial does not necessarily terminate platform access unless otherwise required by platform policy.
13. Reverification
ReadinessOS may request reverification where:
- Identity information changes
- Suspicious activity is detected
- Platform security requires confirmation
- Administrative review identifies inconsistencies
- Legal obligations require updated documentation
Failure to complete requested reverification may limit platform functionality.
14. Privacy of Verification Documents
Verification documents are treated as confidential information.
Access is restricted to authorized personnel and authorized service providers supporting verification processes.
Verification documents are processed in accordance with the Privacy Policy and Data Retention and Deletion Policy.
15. Appeals and Corrections
Users may appeal verification decisions or request correction of verification records under the Appeals and Corrections Policy.
Supporting documentation may be requested before administrative reconsideration.
Administrative decisions following review may be final.
16. Limitations and Disclaimers
Identity verification confirms only that ReadinessOS has reasonably verified the identity of the profile holder or account representative.
Identity verification does not:
- Validate professional competence
- Validate certificates
- Confirm employment history
- Confirm operational experience
- Grant regulatory approval
- Replace employer due diligence
- Replace governmental verification
Users and organizations remain responsible for independent verification where appropriate.
17. Relationship to Other Policies
This policy should be interpreted together with:
- Terms of Service
- Privacy Policy

- Readiness Passport Policy
- Account Suspension and Fraud Policy
- Appeals and Corrections Policy
- Data Ownership Policy
Where conflicts exist regarding personal information processing, the Privacy Policy shall govern.
18. Policy Updates
ReadinessOS may revise this policy as platform functionality, verification procedures, AI capabilities, or legal requirements evolve.
Updated versions become effective upon publication unless otherwise specified.
