1. Document Purpose

This Profile Visibility and Sharing Policy defines how professional profiles, Readiness Passport records, readiness participation history, vessel affiliations, and platform-generated information may be displayed, shared, or accessed within ReadinessOS.

The objective of this policy is to provide users with meaningful control over their professional information while protecting privacy and maintaining operational integrity.


2. Scope

This policy applies to:

  • Professional user profiles
  • Future Readiness Passport profiles
  • Vessel memberships
  • Career timeline records
  • Readiness participation history
  • Scenario exposure history
  • Badge displays
  • Professional achievements
  • Public profile sharing
  • Shared profile links
  • Future recruiter access
  • Future API profile verification

3. Definitions

For the purposes of this policy:

Profile Visibility means the level of access granted to a user's professional information.

Shared Profile means information intentionally made available by the user through platform sharing features.

Public Profile means a profile accessible without authentication.

Readiness Passport means a portable professional summary generated by ReadinessOS.


4. Ownership of Profile Data

Professional profiles belong to the individual user.

Users maintain ownership of their professional information subject to the Terms of Service, Privacy Policy, and Data Ownership Policy.

ReadinessOS provides the platform used to organize and display such information but does not claim ownership of user-generated professional records.


5. Default Visibility

By default, newly created professional profiles should remain private.

No professional information should become publicly visible without an affirmative action by the user.

ReadinessOS follows a privacy-first approach for professional identity management.


6. Visibility Levels

Users may control profile visibility through one of the following settings:

Private

Visible only to the authenticated user and authorized ReadinessOS administrators where necessary.


Current Vessel Only

Visible to authorized administrators and designated users associated with the user's current vessel membership.

Historical vessel associations remain hidden unless separately authorized.


Shared Link

The user may generate a unique shareable link providing temporary or ongoing access to selected profile information.

Users remain responsible for distributing shared links.

ReadinessOS cannot control access once a shared link has been voluntarily distributed.


Public Profile

Users may choose to make selected professional information publicly accessible.

Public profiles should display only information explicitly approved by the user.


7. Readiness Passport Visibility

Future Readiness Passport summaries may include:

  • ReadinessOS ID
  • Identity verification status
  • Membership duration
  • Readiness participation summary
  • Scenario exposure summary
  • Badge summary
  • Career highlights
  • Vessel history (if enabled)
  • Readiness engagement category

Users retain control over whether Passport information may be shared publicly.


8. Professional History

Users may control visibility of:

  • Career timeline
  • Vessel history
  • Professional summary
  • Certificates
  • Readiness participation
  • Scenario exposure
  • Badges
  • Achievements
  • Readiness trends

Individual sections may support separate visibility settings as platform functionality evolves.


9. Certificate Visibility

Professional certificates uploaded to ReadinessOS remain private by default.

Users may choose whether certificates are:

  • Private
  • Visible to current vessel administrators
  • Shared through Passport summaries
  • Shared through profile links

ReadinessOS does not certify uploaded qualifications.

Certificate display does not imply validation by ReadinessOS.


10. Badge Visibility

Users may display earned platform badges within:

  • Professional profiles
  • Readiness Passport summaries
  • Shared profile links
  • Future public profiles

Badges represent documented platform participation only.

Badges do not constitute licenses, certifications, or professional qualifications.


11. Future Recruiter and Employer Access

Future platform versions may allow users to voluntarily share professional profiles with:

  • Vessel operators
  • Owners
  • Management companies
  • Recruiters
  • Employers
  • Safety departments
  • Training organizations

No profile shall be automatically shared with third parties without user authorization unless required by law.


12. QR Code and Passport Sharing

Future Readiness Passport functionality may generate:

  • QR codes
  • Secure share links
  • Downloadable summaries
  • Digital verification pages

Users control whether these sharing mechanisms are enabled.

Public sharing remains optional.


13. API Verification

Future versions of ReadinessOS may provide API-based profile verification for authorized organizations.

Any API access shall remain subject to:

  • User authorization where required
  • Platform security controls
  • Applicable privacy laws
  • Commercial agreements
  • Technical limitations

API functionality may be modified or discontinued without notice.


14. Administrative Access

Authorized ReadinessOS administrators may access profile information where reasonably necessary to:

  • Investigate fraud
  • Verify identity
  • Resolve disputes
  • Review support requests
  • Maintain platform security
  • Enforce platform policies

Administrative access does not imply public visibility.


15. Third-Party Sharing

ReadinessOS does not sell professional profile information to advertisers or unrelated third parties.

Information may only be shared:

  • With user authorization
  • With service providers supporting platform operation
  • To comply with legal obligations
  • To investigate fraud
  • To protect platform security

All sharing remains subject to the Privacy Policy.


16. AI and Profile Recommendations

Future AI features may assist users by generating:

  • Profile summaries
  • Professional highlights
  • Readiness insights
  • Career trend summaries
  • Passport recommendations

Users retain control over whether AI-generated summaries are displayed publicly.

AI-generated summaries are informational only and should not be interpreted as competency assessments or employment recommendations.


17. Relationship to Other Policies

This policy should be interpreted together with:

  • Terms of Service
  • Privacy Policy
  • Professional Profile Policy
  • Readiness Passport Policy
  • Data Ownership Policy
  • Cookie Policy
  • Data Retention and Deletion Policy

Where conflicts exist regarding personal information processing, the Privacy Policy shall govern.


18. Policy Updates

ReadinessOS may revise this policy as platform functionality, sharing capabilities, AI features, or legal requirements evolve.

Updated versions become effective upon publication unless otherwise specified.
