1. Document Purpose

This Newsletter Policy explains how ReadinessOS communicates with subscribers through email newsletters, product announcements, platform updates, educational content, pilot program communications, and marketing communications.

This policy defines how newsletter subscriptions are managed, how consent is obtained, and how users may modify or withdraw their subscription preferences at any time.


2. Scope

This policy applies to:

  • Visitors subscribing through the ReadinessOS website
  • Registered platform users
  • Founding Vessel participants
  • Closed Beta participants
  • Captains and vessel operators
  • Future individual crew members
  • Professional profile holders
  • Individuals requesting product updates or announcements

This policy applies only to optional marketing and informational communications and does not affect mandatory operational or account-related notifications.


3. Definitions

For the purposes of this policy:

Newsletter refers to optional email communications distributed by ReadinessOS.

Subscriber means an individual who has voluntarily opted to receive newsletters.

Operational Communication refers to essential messages related to account security, billing, verification, platform functionality, or legal obligations.

Marketing Communication refers to promotional emails regarding platform features, pricing, events, or future services.


4. Information Collected

When subscribing to newsletters, ReadinessOS may collect:

  • Country or region
  • Professional role (optional)
  • Vessel type or organization (optional)
  • Subscription preferences
  • Language preference
  • Date of subscription
  • Consent status
  • IP address and timestamp where legally required
  • Email engagement metrics where supported by the email provider

No payment information is collected through newsletter subscriptions.


5. Consent

Newsletter subscriptions require affirmative user consent.

Consent may be obtained through:

  • Website signup forms
  • Platform registration
  • Founding Vessel registration
  • Beta participation registration
  • Product waitlists
  • Event registrations
  • Future professional profile registration

Users may withdraw consent at any time.

ReadinessOS does not knowingly subscribe users without permission.


6. Types of Communications

Subscribers may receive communications including:

  • Maritime safety articles
  • Platform tutorials
  • AI feature announcements
  • Readiness Passport updates
  • Founding Vessel announcements

Communication frequency may vary.

ReadinessOS does not guarantee any minimum or maximum delivery schedule.


7. Mandatory Platform Communications

Certain communications are not newsletters and cannot be disabled while an account remains active.

These include:

  • Login security notifications
  • Password resets
  • Identity verification requests
  • Subscription notices
  • Payment confirmations
  • Billing issues
  • Platform security alerts
  • Policy updates
  • Privacy notices
  • Legal notifications
  • Critical operational announcements

These communications are necessary for operation of the platform.


8. Email Analytics

ReadinessOS or its authorized email delivery providers may collect limited engagement information, including:

  • Unsubscribe events
  • Device type
  • General geographic region

These metrics help improve communication quality and subscriber experience.

Analytics are used in aggregate whenever possible.


9. Third-Party Email Providers

ReadinessOS may utilize third-party email service providers to distribute newsletters.

These providers may process subscriber information solely for delivering authorized communications on behalf of ReadinessOS.

ReadinessOS will make reasonable efforts to utilize reputable providers implementing appropriate security practices.


10. User Controls

Subscribers may:

  • Change language preferences
  • Request correction of subscriber information
  • Request deletion of newsletter records where legally permitted

Every marketing email should include an unsubscribe mechanism.

Processing of unsubscribe requests may require a reasonable processing period.

ReadinessOS will make reasonable efforts to process subscriber information using appropriate privacy and security safeguards consistent with applicable law.


14. AI and Future Communications

As ReadinessOS evolves, newsletters may include information generated or assisted by artificial intelligence systems.

AI-generated content may include:

  • Personalized feature suggestions

AI-generated communications are informational only and should not be considered operational, legal, regulatory, or safety advice.


15. Relationship to Other Policies

This policy should be interpreted together with:

  • Profile Visibility and Sharing Policy

Where conflicts exist, the Privacy Policy shall govern the processing of personal information.

Continued subscription after publication of updated policies constitutes acceptance of the revised policy where permitted by applicable law.
