1. Document Purpose
This Data Ownership Policy defines the ownership, control, usage rights, and responsibilities associated with information stored within ReadinessOS.
The objective of this policy is to clearly distinguish between information owned by users, information owned by vessel accounts, information generated by the platform, and aggregated anonymous platform intelligence.
2. Scope
This policy applies to:
- User accounts
- Professional profiles
- Vessel accounts
- Future fleet accounts
- Readiness Passport records
- Scenario templates
- Drill records
- Observations
- Corrective actions
- Readiness analytics
- Uploaded documents
- Certificates
- Support communications
- AI-generated recommendations
- Platform-generated reports
- Platform analytics
3. Definitions
For the purposes of this policy:
User-Owned Data means information that permanently belongs to an individual user.
Vessel-Owned Data means operational information generated within a vessel account.
Platform Data means information created or maintained by ReadinessOS to operate and improve the platform.
Aggregated Data means anonymous statistical information that cannot reasonably identify an individual or vessel.
4. User-Owned Data
The following information belongs to the individual user:
- ReadinessOS Identity (ROS ID)
- Professional profile
- Career timeline
- Vessel history
- Readiness participation history
- Scenario exposure history
- Personal readiness engagement history
- Badge history
- Readiness Passport records
- Uploaded certificates
- Uploaded professional documents
- Identity verification records
- Personal profile information
A user's professional history remains attached to that user regardless of vessel changes.
5. Vessel-Owned Data
The following information belongs to the vessel account that generated it:
- Vessel profile
- Vessel configuration
- Crew structure
- Vessel positions
- Scenario library customizations
- Drill execution records
- Observations
- Corrective actions
- Risk assessments
- Equipment references
- Operational attachments
- Department assignments
- Vessel readiness analytics
- Vessel dashboards
These records remain associated with the vessel unless otherwise required by law or platform policy.
6. Separation of User and Vessel Ownership
ReadinessOS distinguishes between:
- User identity
- Vessel membership
- Vessel position
- Operational participation
A user profile belongs to the individual.
A vessel position belongs to the vessel.
Membership connects a user to a vessel.
Operational readiness activity is recorded against the actual individual who participated.
Removing a user from a vessel does not erase that user's professional readiness history.
Removing a user does not delete historical vessel operational records.
7. Readiness Participation Records
Readiness participation history belongs to the participating user while simultaneously forming part of the vessel's operational history.
ReadinessOS maintains both relationships independently to preserve historical integrity.
Participation records may therefore appear in:
- User readiness history
- Vessel drill history
- Scenario analytics
- Readiness trend analysis
- Future Readiness Passport summaries
8. Uploaded Documents
Ownership of uploaded documents remains with the uploading user or lawful owner.
By uploading documents to ReadinessOS, users grant ReadinessOS a limited, non-exclusive license to:
- Store documents
- Display documents within authorized areas
- Process documents
- Verify documents
- Generate readiness-related insights
- Support platform functionality
Ownership of uploaded documents is not transferred to ReadinessOS.
9. AI-Generated Content
ReadinessOS may generate:
- Scenario recommendations
- Readiness suggestions
- Educational summaries
- Operational insights
- Competency mapping suggestions
- Readiness analytics
- Generated reports
AI-generated outputs remain informational tools created by the platform.
ReadinessOS retains intellectual property rights in its AI-generated algorithms, models, and generated platform content while users retain ownership of the underlying operational data supplied by them.
10. Generated Reports and Exports
Users may generate reports based upon their authorized platform data.
Generated reports remain controlled by the authorized account holder that generated them.
Exported reports become the responsibility of the exporting user once downloaded from the platform.
ReadinessOS is not responsible for external distribution after export.
11. Aggregated Analytics
ReadinessOS may create anonymous aggregated analytics from platform activity including:
- Readiness trends
- Scenario participation
- Industry statistics
- Benchmarking
- Platform performance
- AI improvement datasets
- Operational research
Aggregated analytics do not identify individual users or vessels and remain the property of ReadinessOS.
12. Support Communications
Support requests, bug reports, feature suggestions, and customer communications remain owned by their original authors.
Users grant ReadinessOS a perpetual, non-exclusive license to use submitted feedback to improve platform functionality without compensation.
13. Data Portability
Where technically feasible, users may request export of their personal records, including:
- Professional profile
- Career timeline
- Certificates
- Readiness history
- Badge history
- Future Readiness Passport
- Personal participation records
Export requests remain subject to applicable law and platform security requirements.
14. Data Deletion
Ownership does not guarantee immediate deletion.
Certain information may be retained where necessary for:
- Legal obligations
- Fraud prevention
- Security investigations
- Audit history
- Platform integrity
- Historical vessel records
- Backup systems
Deletion requests are governed by the Data Retention and Deletion Policy.
15. Intellectual Property
All ReadinessOS software, databases, interfaces, trademarks, branding, algorithms, AI systems, designs, documentation, and platform architecture remain the exclusive intellectual property of ReadinessOS unless otherwise stated.
Nothing in this policy transfers ownership of the platform itself.
16. Relationship to Other Policies
This policy should be interpreted together with:
- Terms of Service
- Privacy Policy
- Data Retention and Deletion Policy
- Professional Profile Policy
- Readiness Passport Policy
- Document Verification Policy
- Cookie Policy
Where conflicts exist regarding personal information processing, the Privacy Policy shall govern.
17. Policy Updates
ReadinessOS may revise this policy as platform functionality, AI capabilities, legal requirements, or business operations evolve.
Updated versions become effective upon publication unless otherwise specified.
