1. Document Purpose

This AI Usage & Responsible AI Policy establishes the principles governing the use of artificial intelligence within ReadinessOS.

The objective of AI functionality is to assist maritime professionals by providing educational insights, readiness recommendations, operational summaries, scenario generation assistance, and analytical support while preserving human oversight and professional judgment.

Artificial intelligence is intended to support decision-making, not replace it.


2. Scope

This policy applies to:

  • AI-generated scenarios
  • AI-generated readiness recommendations
  • AI-generated reports
  • AI-generated summaries
  • AI-assisted analytics
  • AI-generated educational content
  • AI-assisted Readiness Passport summaries
  • AI-assisted professional profile summaries
  • Future AI assistants integrated into ReadinessOS

3. Definitions

For the purposes of this policy:

Artificial Intelligence (AI) means computational systems that generate recommendations, summaries, analyses, or content based upon available platform information.

AI Output means any text, recommendation, report, scenario, analysis, or content generated by AI within ReadinessOS.

Human Review means independent evaluation by a qualified individual before operational implementation.


4. Purpose of AI

AI within ReadinessOS exists to:

  • Improve operational learning
  • Assist scenario generation
  • Encourage readiness discussions
  • Improve educational value
  • Summarize historical records
  • Support readiness analytics
  • Identify participation trends
  • Assist documentation workflows

AI is an advisory tool.


5. Human Oversight

All AI-generated content must be reviewed by qualified personnel before operational implementation.

Users remain solely responsible for:

  • Operational decisions
  • Emergency response
  • Vessel safety
  • Regulatory compliance
  • Engineering decisions
  • Medical decisions
  • Navigation decisions
  • Safety management

AI recommendations must never replace professional judgment.


6. AI Limitations

AI-generated outputs may contain:

  • Incomplete information
  • Incorrect assumptions
  • Hallucinated content
  • Outdated information
  • Missing context
  • Logical errors
  • Regulatory inaccuracies
  • Technical inaccuracies

Users should independently verify AI outputs before relying upon them.


7. No Professional Advice

AI-generated content provided by ReadinessOS does not constitute:

  • Engineering advice
  • Legal advice
  • Medical advice
  • Regulatory advice
  • Classification advice
  • Flag State guidance
  • Safety certification
  • Professional consulting services

Users remain responsible for obtaining appropriate professional advice where required.


8. Scenario Generation

Future AI systems may generate:

  • Emergency drills
  • Equipment failures
  • Machinery scenarios
  • Fire scenarios
  • Flooding scenarios
  • Medical scenarios
  • Pollution scenarios
  • Security incidents

Generated scenarios are educational tools only and should be reviewed before use onboard.


9. AI Summaries

AI may summarize:

  • Career timelines
  • Readiness history
  • Vessel activity
  • Drill participation
  • Corrective actions
  • Scenario exposure
  • Badge history

Summaries may omit information or contain errors and should not be considered authoritative records.


10. AI Learning and Improvement

ReadinessOS may use anonymized and aggregated platform activity to improve AI functionality.

Where personal information is processed, such processing remains subject to the Privacy Policy and applicable law.

ReadinessOS does not intentionally use confidential user information for public AI training without appropriate authorization.


11. User Responsibility

Users remain fully responsible for verifying:

  • Operational accuracy
  • Technical accuracy
  • Regulatory compliance
  • Vessel suitability
  • Scenario applicability
  • Equipment compatibility

Reliance upon AI without independent review is solely the responsibility of the user.


12. AI Availability

AI functionality may:

  • Change
  • Improve
  • Be withdrawn
  • Produce inconsistent outputs
  • Experience service interruptions

ReadinessOS does not guarantee continuous AI availability or accuracy.


13. Prohibited AI Use

Users shall not use AI functionality to:

  • Generate fraudulent records
  • Fabricate readiness history
  • Create false certificates
  • Produce misleading reports
  • Manipulate readiness metrics
  • Misrepresent operational activity
  • Circumvent platform safeguards

Violations may result in enforcement action.


14. Limitation of Liability

To the maximum extent permitted by applicable law, ReadinessOS shall not be liable for losses arising from reliance upon AI-generated outputs.

AI-generated information is provided for informational and educational purposes only.

Operational decisions remain the responsibility of qualified human personnel.


15. Relationship to Other Policies

This policy should be interpreted together with:

  • Terms of Service
  • Privacy Policy
  • Readiness Engagement Policy
  • Operational Disclaimer Policy
  • Data Ownership Policy
  • Account Suspension and Fraud Policy

Where conflicts exist regarding personal information processing, the Privacy Policy shall govern.


16. Policy Updates

ReadinessOS may revise this policy as AI technology, platform capabilities, legal requirements, and regulatory expectations evolve.

Updated versions become effective upon publication unless otherwise specified.
